XiLin Chinese School Student Volunteers Policy

DEFINITIONS

A volunteer shall be considered as any individual who assists with work done at the school without remuneration. All middle school, high school, and college students are qualified and are welcome to participate.

STATEMENT OF PURPOSE

The school shall use the services of volunteers to supplement the efforts of the paid school staff in order to meet demands for school service.

The school shall make use of the services of interested volunteers to supplement, but not replace, the work done by the school staff.

RECOGNITION

Recognition is an important component of a volunteer program, and is often the only way in which the school indicates its appreciation to the volunteers. While the individual recognition of volunteers would be ongoing, the volunteers would be recognized as a group on a regular basis, at least annually.

SUPERVISION OF VOLUNTEERS

Volunteers will work directly with school staff members to receive training and complete assigned work. All volunteers will be assigned one primary staff member to guide them in their work.

There will be a performing statement indicating the level of service the volunteers offered, such as: their attitude, the quality of their service, etc. The statement will be a single phrase, such as excellent, poor, etc.

GENERAL PROVISIONS

Nothing in this policy shall deem the creation of a contract between the volunteer and the school. Both the volunteer and the school have the right to terminate the volunteer's association with the school at any time, for any reason, with or without cause.

Prior to engaging in any volunteer activity, each volunteer will be required to inform and meet with a school staff member, who will be benefiting from the volunteer's service and become the volunteer's supervisor. Upon approval of the school staff member, the volunteer may be scheduled for training and work assignments. Examples include: grading student homework, helping to prepare for classes, assisting in the classrooms, etc.

Hours of volunteer service will be determined by the supervisory staff member, and relayed to the volunteer. Actual volunteer service time shall be recorded by the supervisory staff member, who is responsible for submitting it to the school committee for record keeping and verification purposes. Volunteers are expected to arrive at the school on time to begin work as scheduled. In the case of a volunteer being excused from his or her scheduled service, the individual has to notify the school official who is responsible for managing volunteers, 24 hours before the scheduled service time. All volunteer work must be completed within the normal school hours. Exceptions may be made by volunteers' supervisors.

In the case of more than one qualified volunteer applying for the same position, it is based on a first come first serve basis, with the late comer put on a waiting list.

Conflict of interests should be observed and prevented. For example, a staff member cannot directly supervise the volunteers to whom the staff member is related.
